Safe Handoff Guide: Using QR Code Verification
QR codes are your proof of pickup and return. Learn how to use them correctly to protect yourself and create an immutable record of every handoff.
Why QR Verification Matters
Every rental generates two unique QR codes: one for pickup and one for return. These aren't just for convenience—they create legally admissible proof of handoff with timestamps and location data.
- Timestamped: Exact time recorded when you scan
- Immutable: Can't be altered or disputed after the fact
- Photo evidence: Take photos right after scanning to document condition
Step-by-Step: Pickup Process
For Renters
- Arrive at the agreed location
Meet the owner at the time and place you agreed upon. Public, well-lit locations are safest.
- Inspect the item thoroughly
Check for any damage, wear, or issues before accepting. Compare to the listing photos.
- Open your Life4Rent app
Go to your booking and tap "Start Pickup." This activates your QR scanner.
- Scan the owner's pickup QR code
The owner will display their QR code. Point your camera at it until it registers.
- Immediately take photos
Right after scanning, take clear photos of the item from multiple angles. These document the condition at handoff.
- Confirm on-screen
You'll see a confirmation with the timestamp. The rental period has now officially started.
For Owners
- Prepare your item
Clean the item and take your own photos before the renter arrives. Document any existing wear.
- Open your pickup QR code
In the app, go to your booking and tap "Show Pickup QR." This displays your unique code.
- Let the renter scan it
Hold your phone steady while the renter scans. You'll both receive confirmation.
- Demonstrate the item
Show the renter how to use the item properly. Explain any care instructions.
Pro Tips for Scanning
- Good lighting: Make sure there's enough light for the camera to read the QR code clearly.
- Steady hands: Hold both phones steady. Shaky screens can cause scan failures.
- Right distance: Start about 6-12 inches away. Move closer if needed.
- Clean screen: A smudged screen can interfere with QR display and scanning.
- Update your app: Make sure you're running the latest version of Life4Rent.
Step-by-Step: Return Process
For Renters
- Clean and prepare the item
Return the item in the same condition you received it. Clean it if needed.
- Meet at the agreed return location
Return on time to avoid late fees. If you'll be late, communicate with the owner.
- Show your return QR code
In the app, go to your booking and tap "Show Return QR."
- Let the owner inspect and scan
The owner will check the item and then scan your QR code to confirm return.
- Wait for confirmation
Both of you will receive a notification that the rental is complete and escrow is releasing.
For Owners
- Inspect the returned item carefully
Compare to your pre-rental photos. Check for any new damage or missing parts.
- Take post-return photos
Document the item's condition before scanning the return QR.
- Scan the renter's return QR code
Open your scanner and scan their code. This confirms return and releases escrow.
- Confirm or report issues
If everything is good, confirm. If there's damage, you have 7 days to file a dispute with evidence.
What If Someone Won't Scan?
If the other party refuses to complete QR verification, this is a major red flag. Here's what to do:
At Pickup (if owner won't show QR)
Do not accept the item. Contact support immediately. A legitimate owner has no reason to avoid QR verification.
At Return (if owner won't scan your QR)
Take video of yourself returning the item and the owner refusing to scan. Contact support. We can investigate and release your security deposit based on evidence.
At Pickup (if renter won't scan)
Do not hand over the item without QR confirmation. The scan protects you from claims that the item wasn't delivered.
What the QR Scan Records
When you scan a QR code, here's what gets permanently logged in our system:
- Timestamp: Exact date and time (down to the second)
- Booking ID: Which rental this belongs to
- User IDs: Both the scanner and the code owner
- Scan type: Whether it's pickup or return
- Device info: The device used for scanning (for fraud prevention)
This data is used in dispute resolution and cannot be altered. It's your proof of what happened and when.
Courier Deliveries and QR
When you use one of our courier partners for delivery instead of meeting in person, QR verification still applies:
- The courier scans the owner's QR at pickup
- The courier scans your QR when delivering to you
- You receive notification with timestamp when item is delivered
- Same process in reverse for returns
This creates a chain of custody that protects everyone—owner, renter, and courier.
Remember: Always scan, always photograph
QR verification and photos are your best protection in any dispute. Make it a habit, and you'll always have the evidence you need.
